Planning Your Trip – Travelling to a Special Event or Congress


Making a plan is always a great idea when travelling to a big event, it makes everything easier to handle, you know where to go,  you are on track with what is happening and what will happen because you are well prepared. Now let’s say I am going to travel to a place, but I haven’t made a plan or a preparation for it, there will be a huge chance things might end up a bit messed up, such as being clueless where I am, not knowing which hotel to choose for accommodation and definitely possible that I will run low on budget because I am not in track of my spending! Making plans is a life saviour in all situations especially when it comes to travelling or going to some sort of event. The following are some tips for planning.

First, I have to make sure I have all the things essential for travelling. It is important to always bring a map, especially when travelling to a certain place where you are not familiar with. Having a map won’t waste your time figuring out where you should go and won’t get you lost. Another important thing to bring is extra cash and put it in a different place like inside the suitcase in case of emergency if ever I lose my wallet or run out of cash in my ATM at least I’ve got some extra cash! I always make sure to also bring an extra copy of my passport or ID in case I lose them.

You need to think wisely about spending. Before booking a ticket, make sure to check each airline for any promotions available and compare prices to see which one is the cheapest ticket available. When booking for accommodation, it is good to choose a hotel near the area or event you are going to, accommodation near restaurants and shopping centres or malls would be hassle free because of the easy access to food and leisure. You won’t need to travel around the city to find a quick snack or spend some time shopping.

If I am travelling to meet clients or presenting some products, It is important I am prepared for the meeting, be and look positive and very approachable. I make sure what topics will be discussed during the meeting a day or two before the meeting. It is also essential I have an agenda. Having an agenda shows I have a plan and that gives the client a reason to trust me. Before getting onto serious business, making a small talk is a great way to let my clients feel comfortable and not hesitate to ask questions during the meeting. It is very important to discuss each of their questions to  make them realise I care for their needs and I am really willing to help. When the meeting is done, I will give them my gratitude for their time, giving out my business card and remind them to call me if my client needs to discuss anything further on the phone. After a week or so, I follow up my client with an e-mail or a phone call to check once again if there’s anything my client would like to discuss. Planning is very very important especially when it comes to meeting clients or presenting products. Imagine if I hadn’t planned out an agenda for my meeting. I’d be so clueless of what to say and eventually my clients will become un-interested!
